Virtual Administrative Assistant
The Independent Distributors of Electronics Association (IDEA) is a non-profit trade association. See our website at www.idofea.org IDEA is an exciting and growing organization providing educational solutions, industry standards and certification programs to the independent distributors of electronics industry and their customers.
This position provides the opportunity to work from home in a virtual office environment and therefore allows IDEA to source candidates for this important position from across the USA. This is an at-will contract hourly (non-commissioned) full-time position. This position requires a highly self-disciplined professional who can maintain high work standards and ethics in the home (e.g. independent) environment. Candidates must pass a background check.
Work from home as an administrative assistant to IDEA Headquarters assisting and reporting to and working closely with the IDEA General Manager on a daily basis. If you are selected to fulfill this position you will be expected to perform (but not limited to)the following:
• Maintain complete confidentiality, with absolutely no mistakes whatsoever in this area.
• Perform many different office type and operational (redundant) tasks in the course of a typical work day so you must be able to organize work by priority, manage your time wisely, and move from one task to another as priorities require, and respond to changes as directed by the G.M.
• Answer incoming phone calls, responding to both member and non-member questions and provide support
• Some travel required each year for Annual Members Meeting and possibly up to two trade shows a year.
Examples of Job Tasks, but not limited to the following:
• Process new applications for membership
• Set up new members
• Maintain sales database (data entry)
• Maintaining the online certification program (data entry)
• Website maintenance & updates
• Pack book type products and perform shipping through FedEx, USPS, DHL, and other carriers
• Schedule meetings
• Take meeting minutes & send out meeting minutes via email
• Make travel arrangements as required
• Take all phone calls and provide customer service to caller or route caller to appropriate person
• Make the monthly expense report(s) for accounting
• Create/print/send certificates
• Maintain files (hardcopy and softcopy)
• Create marketing materials
• Assist with coordination of and attend off-site meetings.
• Prepare and attend the annual member’s meeting
• Run errands from time to time
• Conduct research to assist with problem resolutions and for project development efforts

• Must be committed to keeping confidentiality, confidentiality is a must!
• Highly trustworthy
• Highly organized
• Must have confidence with positive attitude and behavior
• Must be logical and objective in evaluation skills
• Must be able to ensure control and protection of all IDEA property in your possession and under your care
• Must be comfortable interfacing with all levels of member company personnel
• Must have 5 years + experience in multi discipline small organization environment
• Must have a verifiable history of proven competency
• Must know Microsoft Office (Word, Excel, Outlook, and PowerPoint) and Access is a plus
• Ability to maintain computer and peripherals will be a big plus!
