Administrative / Communications Assistant

Non-profit is looking for an organized professional with proven success in non-profit administration to assist the state network director in launching a new year-year phase of the project.  This is a work from home position that will last approximately five months.

Candidate’s responsibilities include:
-Provide state network, regional policy, and local school project support
-Provide administrative support to the state network director.
-Provide excellent customer service with contacts at all levels (government officials, individuals, and organizations) to obtain and share information.
-Work with the state network director to finalize and execute contracts with the 15-20 states participating in the state network project, and to finalize and execute contracts for the five local school project sites, and the three regional sites.
-Establish and manage a list-serve for the participating state network organizers through A-List Hosting.
-Research potential Web 2.0 tools, and then help to create and manage Web 2.0 tools used by the State Network Project to share ideas, documents, calendar items, and other important information.
-Provide research assistance to state network director, as needed
-Attend regular staff meetings via telephone, and work as a team player

Maintain/manage internal communication tools and activities including;
- Scheduling various group meetings
- Invoice reminders and follow-up (making sure Bikes Belong receives these for all network organizers, regional and local contractors each month)
- Monthly website and database update reminders to network organizers
- Follow up on other to-do items (report mailings; updating contacts; tasks assigned for reports we are putting together)
- Travel and meeting/meal planning for state network director
- Take and distribute notes for monthly network organizer meetings
- Help new network organizers get set up on WebEx or other Web 2.0 tools and assist with various technical issues
- Manage WebEx central document storage and calendar, and other Web 2.0 tools.
- Set up emails for new network organizers, help them to format their email signatures, assist with other email technical issues
- Order and ship business cards for state network managers
- Create and refine logos for each of the new network states with the help of a graphic artist
- Manage registration for conference calls, conferences, trainings and other events
- Share files, print out documents, and create joint documents, at the request of the state network director

Track the 15-20 state network organizer monthly and quarterly deliverables as needed, using MS Excel:
- Policy research
- Invoices
- Action Plans
- Achievement
- Web updates
- Contacts list
- Other items as determined by the state network director

Candidate must possess the following qualifications:
- Bachelors degree required.
- Knowledge of Safe Routes to School, transportation and health issues is preferred.
- Minimum of two to three years demonstrated success in a high-level administrative position.
- Self motivated, creative, detail-oriented and energetic.
- Ability to work from home, and to work independently with minimal supervision.
- Excellent written and verbal communication skills.
- Organized and able to manage multiple projects with attention to detail.
- Advanced level proficiency computer software applications.
- Experience with Constant Contact preferred.

Location: Work from home
Compensation: $18 to 22/hr
