Virtual Executive Assistant

Skills needed:
* Office software (Word, Excel, Powerpoint, Outlook)

* Ability to prioritize and manage workload
* Collaborate electronically (email, IM, wiki) with a distributed team
Executive Assistant responsibilities
• Coordinate and schedule all travel, prepare detailed itineraries for all employees
• Book all calls, meetings, appointments and travel for partners
• Print all research deliverables manually and/or manage on-demand printing
• Schedule all company meetings, conference calls. Organize agendas, take notes from meetings and place into corporate wiki.
• Scan necessary documents for storage in corporate servers for virtual access; enter contacts into Customer Relationship Management system.
• Collect and process employee expense reports
• Process other financial documents (receipts, invoices, bills) as required
• Create briefing dossiers with bio and other details for meetings
Participate in the following weekly meetings:
• All-hands call
o Responsible for taking notes in wiki
• Catch-up call with Manager
o Schedule 30 minutes per week
MUST SHOW MINIMUM 2 YEARS EXPERIENCE AS LISTED ABOVE
