Job Summary

Professional organizing, move management, and staging company seeking an extremely organized, solution-oriented office manager to manage the client invoicing process, metrics, and overall backend operations of the company. You will collaborate closely with our Client Services Associate to collect and organize information flowing between our clients and organizing team.
While this is not a client-facing role, it does involve direct contact with our clients through invoicing, so some level of customer service acumen is beneficial.
Focal work areas:
Invoicing:
--Generating, sending, and following up with project invoices.
--Entering invoices submitted to us by our organizers into Xero.
--Payment of vendor invoices in a timely fashion.
--Tracking payments to our organizing team and other independent contractors.
Human Resources
--Support in the recruitment of qualified independent contractors to join the Urban Clarity team, which includes 1) preliminary phone screening of candidates for organizing team and 2) scheduling of second interviews with CEO
--Onboarding new organizers, ensuring that we have the correct paperwork to get them started as independent contractors and they have all the information they need to manage their UC calendars.
--Conducting background checks on new organizers.
--Generating 1099s for organizing team.
Administrative Tasks:
--Create and maintain organizational databases.
--Updating mailing list in Mailchimp and other databases.
--General administrative support of the CEO as needed, such as travel booking.

Should be/have:
--Highly organized and able to complete assigned tasks in a timely and efficient manner
--Strong verbal and written communication skills
--Excellent with numbers and can generate ideas around how to improve presentation of metrics
--Proficient in Google Drive and Google Calendar
--Preferred bookkeeping knowledge and/or experience with Xero and Square
