Job Summary
Seeking a VA who can provide excellent assistance responding to clients and helping prioritize tasks for owner of small insurance agency. VA will represent me and my brand so great interpersonal skills and ability to provide top level customer service, as the agency does, is critical.
The right person will be my right-hand and help me by performing various administrative tasks. Work includes managing processes to make sure they are followed.
Seeking about 10 hours a week to start but this can expand if the working relationship is productive and successful.
Responsibilities may include:
--Maintaining email inbox (ideally to zero)
--Provide excellent customer service via emails and phone calls
--Manage calendar
--Schedule meetings
--Send thank you cards
--Request client reviews/testimonials
--Manage pipeline of new opportunities
--Initiate new business processing when leads come in through emails. Know how to respond appropriately and know when to get me involved.
--Assist with onboarding process with new clients
--Process simple customer service requests such as copies of policies and issue of simple certificates of insurance
--Run reports from management system
--Keep records organized and help with data integrity
--Work on social media, discussing strategy with client then creating posts accordingly with the goal of growing the social media following
Successful Candidate:
--Some insurance agency experience and familiarity with the EZ Lynx Agency Management System is preferred
--Proven success as a Virtual Assistant
--Excellent phone, email and communication skills
--Familiarity with current technologies & online meeting tools
--Strong abilities with word-processing software (e.g. MS Office)
--Must have fluency in Excel spreadsheets
--Skill using online calendars and scheduling (e.g. Google Calendar)
--Skilled in social media management and growth
--Excellent time management and organizational skills
--Responsible, experienced, positive, intelligent, flexible, resourceful and engaging self-starter to help me run and scale my business
--Organized and bright, and will take initiative
