Job Summary
Job Description:
Virtual Assistant/Bookkeeper needed for 20-30 hours a week for the first 6-12 months to get familiar with the work, settling at 20 hours a week after the first 6 months. There is an ebb and flow to the work, meaning during busy seasons with lots of client work the hours could be more and then less in slower seasons.
Duties and responsibilities:
Coordinate Offsites (client sessions) - a lot of logistics - printing, shipping, setting up assessments, ordering materials, coordinating with clients and offsite locations
Event planning lite - working with the local print shop in Suwannee, people on the executive team and their EAs plus the hotel
Communicate with clients and internally within our larger consulting practice
Responsible for email & calendar (he has a system for this)
Scheduling calls/appointments
Bookkeeping with QuickBooks - working with CPA as necessary
Making travel arrangements
Client invoicing
Systems - Mostly Microsoft Suite, Small use of Google suite | Constant Contact (update and maintain contacts, etc.), Salesforce (data entry for The Table Group only), QuickBooks, assessments websites
Mail & Filing
Sensitive client and family information that needs to be handled with discretion
Phone responsibility is minimal - about 10% of the time. He would prefer they pick up the phone to speak with an assistant rather than going back and forth in email
Qualifications:
Excellent written and verbal communication skills
Proactive in seeking ways to assist, solving problems and seeking opportunities for improvement
Strong attention to detail
Structured and organized
Process-oriented
High level of discretion for both client and family matters

Flexible work hours
Flexible work location (approx. 2 to 3 hours in my home office twice per month)
Participate in a few client sessions during the first year (in order to see firsthand the consulting work)
Occasionally, and if desired, the opportunity to travel to internal conferences (once every year or two)
Most of the work can be completed remotely using a computer and smartphone
