California Licensed Intake Manager

Job Summary

To optimize patient access processes, the part-time contractor California Licensed Intake Manager will manage the referral funnel for Texas and Nevada, ensuring timely conversions to completed evaluations while overseeing intake operations and collaborating with revenue cycle teams.

Key responsibilities

• Own the entire referral process from inquiry to completed evaluation, ensuring accurate patient demographics and timely follow-ups
• Document and transition patient access work from an external agency, maintaining continuity of service and compliance with authorization requirements
• Collaborate with offshore teams on billing and revenue cycle management, addressing denials and improving overall performance metrics

Required qualifications

• 5+ years in healthcare patient access or revenue cycle management, with at least 2 years focused on intake and prior authorization
• Proven track record of improving referral conversion rates and understanding loss reasons within the intake process
• Direct experience with outpatient therapy services, specifically in physical, occupational, or speech therapy settings
• Extensive knowledge of authorization-heavy payors and experience with Medicaid, managed care, and commercial insurance plans
• Strong proficiency in Excel, including pivot tables and data reconciliation, along with familiarity with EHR and practice management systems
