Browser Extension Privacy Policy
Effective date: August 31, 2026
This policy describes how Virtual Vocations, Inc. (“Virtual Vocations”, “we”, “us”), an Arizona corporation, handles information in the JobManager browser extension for Google Chrome.
The extension is an add-on to a Virtual Vocations account. Our website privacy policy continues to govern your account, the VirtualVocations.Com website and everything you do there. This policy covers only what the extension itself does on your computer and what it sends us. Where the two overlap, this policy describes the extension specifically.
You need a Virtual Vocations account to use the extension. Some features require a paid subscription. The privacy treatment described here is the same either way.
What information the extension collects
Information you enter or save yourself
- Jobs you save. The job title, employer name, the web address of the posting, and the text of the posting itself.
- What you add to a saved job. Your notes, the application status you set, and any reminder date you choose.
- Quick answers. Standard answers you choose to store for application forms, such as work authorization or notice period. You decide what to put here.
- Match results. The score, the matched and missing keywords, and the date it was produced.
Information the extension reads from web pages
The extension reads a page only when you ask it to do something with that page. Specifically:
- When you save a job, it reads the visible text of the page you are on, so the posting is still there if the listing is later taken down.
- When you open the Match tab, it uses the saved posting text, or reads the posting page if you have it open.
- When you press Auto-Fill, it reads the labels and field names of the form fields on the application page, including fields inside embedded frames, so it knows what the form is asking for.
The extension does not read pages in the background, does not record your browsing history, does not log what you type, and does not read pages you have not asked it to act on.
Information stored on your own device
The extension stores your saved jobs, quick answers, cached match results and its own settings in your browser’s local extension storage. This stays on your computer. It is also synced to your Virtual Vocations account, so your jobs follow you to another computer when you sign in there.
What the extension does not collect
- There is no analytics or telemetry of any kind in the extension.
- There are no advertising identifiers and no advertising or tracking cookies.
- The extension contacts exactly one server: ours. It sends nothing to any other company from your browser.
- The extension never submits an application for you. It fills fields in; you review them and submit the form yourself. Buttons and submit controls are deliberately excluded from the fields it will touch.
How we use your information
- To provide the features you asked for – saving jobs, keeping notes and reminders, matching a resume against a posting, and filling in application forms.
- To sync your data to your account, so the same jobs and answers are there on any computer where you sign in.
- To enforce daily limits on AI features. We keep a count of how many AI requests your account has made each day. That record holds your account id, the date, which feature was used, and the size of the request. It does not hold the content of the request.
- To keep the service secure and to investigate abuse or misuse.
- To provide customer support when you contact us.
- To meet legal obligations.
We do not use your saved jobs, resumes or application answers to build advertising profiles, and we do not sell them.
How we use artificial intelligence
Three features in the extension use an AI language model. Each one runs only when you take an action that asks for it. Nothing is sent to an AI model in the background, on a schedule, or as a result of ordinary browsing.
Our AI provider is OpenAI. Requests are sent from our servers, not from your browser.
What we send
We send our AI provider only what the feature you asked for needs in order to work: the text of a job posting when you ask for a match, the text of a resume file when you ask us to sort it into sections, and the field labels on an application form together with the resume details needed to answer them.
We keep each request to the minimum that feature needs. A match request does not include your contact details. We never send your password or any account credentials, the contents of pages you have not asked us to act on, or the notes, reminders and application statuses you keep against your saved jobs.
Our commitments about AI
- Your data is not used to train AI models. We do not train any model of our own on your resumes, saved jobs or application answers. We use OpenAI’s API under OpenAI’s standard API terms, and under those terms data sent to the API is not used to train or improve OpenAI’s models. OpenAI keeps abuse-monitoring logs of API usage for up to 30 days so that it can enforce its usage policies, unless a longer period is required by law, and deletes them after that. We have not opted in to sharing your data for model training.
- No AI system makes a decision about you. A match score is information for you and nothing else. It does not affect your Virtual Vocations account, is not shown to employers or recruiters, is not used to rank you, and plays no part in any hiring decision. No employer receives it.
- You stay in control of what is submitted. Auto-fill puts suggested values into a form and marks the ones it is unsure about. You review and edit them. The extension never submits an application on your behalf.
- AI output can be wrong. A match score is an estimate produced by a language model. Treat it as a prompt to look more closely at a posting, not as a judgment about your suitability. Check anything auto-fill enters before you submit a form.
- You can avoid the AI features entirely. Saving jobs, notes, reminders, quick answers and syncing across computers all work without any AI request being made. If you never open the Match tab, never press Auto-Fill and never ask us to sort an uploaded resume, no information about you is sent to an AI provider.
Browser permissions and why each is needed
Chrome asks you to approve a list of permissions when you install the extension. This is what each one is for.

Job postings and application forms are hosted on thousands of different company and job-board domains, and we cannot know in advance which ones you will visit. This permission is what lets the extension act on the page you choose. It is a permission to act when asked, not a license to watch: the extension reads a page only in response to you pressing Save, Match or Auto-Fill. |
When and with whom we share your information
- Our AI provider, as described above, and only the data listed there.
- Service providers who host and support the Virtual Vocations service, bound by contract to handle data only on our instructions.
- Employers and job boards receive information only when you submit an application on their website. The extension helps you fill their form; you submit it; from that point their own privacy policy governs what they do with it. We do not send employers your saved jobs, your notes or your match scores.
- Legal requirements – if we are required by law, or need to protect our rights or the safety of others.
- Business transfer – if Virtual Vocations is acquired or its assets are sold, information may transfer as part of that transaction.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Cookies and the sign-in session
The extension itself sets no cookies and uses no tracking technologies.
It reads a single cookie: your Virtual Vocations sign-in cookie, from VirtualVocations.Com only. It reads that cookie because of how browsers work. The browser will not attach a sign-in cookie to a request coming from an extension, so the extension has to read it and present it as a header instead. This is the same session you already have as a signed-in member. The extension cannot read, and does not attempt to read, cookies for any other website.
Our server never sends the extension your account id. Every request identifies you from the session alone.
How long we keep your information
Your personal information is stored and processed on computers and servers in the United States and, through your use of the Website and the JobManager extension, you unequivocally consent to the processing and storage of your personal and personally identifiable information. You understand and agree that Virtual Vocations may continue to store your information after you cease use of the service or disable your account.
Jobs you delete in the extension are marked as deleted rather than erased immediately, so that the deletion reaches the other computers you use. Data stored on your own device is removed when you remove the extension, and when you sign in as a different user the previous account’s saved jobs, answers and cached match results are cleared from that browser.

How we keep your information safe
Virtual Vocations uses commercially reasonable efforts and standard technology to store your information and to help prevent the unauthorized disclosure of it. To protect your personal information while it travels between your computer and us, we use the Secure Sockets Layer (SSL) protocol, which encrypts the information you input. Your browser shows a secure connection with a lock indicator, and the address of the page begins with https:// rather than http://.
Within the extension specifically, every request is authenticated against your signed-in Virtual Vocations session and scoped to your own account, so the extension cannot ask for another member’s jobs or resumes. Access to member data is restricted to staff who need it.
Though it undertakes commercially reasonable efforts to protect your information, no website, software, or online service is completely safe. Accordingly, you provide all such information at your own risk. Please use a strong, unique password for your account.
Your controls: reviewing and deleting
- See what is stored. Everything the extension holds about your job search is visible in the extension itself and in your Virtual Vocations account.
- Delete a job. Delete it in the extension and the deletion syncs to your account and your other computers.
- Clear your quick answers at any time in the Auto-Fill panel.
- Stop all data leaving your browser by signing out or removing the extension. Removing it deletes the data it stored on that computer.
- Delete your account data. Use the deletion process described in our website privacy policy, or contact us using the details below.
Information from minors
The service is intended for users aged 18 and over. We do not knowingly collect personal information from children under 13 or from other minors. If you believe a minor has provided us with personal information, contact us and we will remove it.
Your privacy rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a copy in a portable format, object to or restrict certain processing, and withdraw consent. You will not be treated differently for exercising these rights.
California residents. You may request the categories of personal information we collected, the purposes, the categories of third parties we disclosed it to, and deletion of your information. Under California’s “Shine the Light” law you may also request, once a year and free of charge, information about personal information shared with third parties for their direct marketing purposes. We do not sell personal information or share it for cross-context behavioral advertising.

International transfers
Virtual Vocations operates in the United States and our service providers, including our AI provider, process data in the United States. If you use the extension from outside the United States, your information is transferred to and processed in the United States, where privacy laws may differ from those in your country.
Do Not Track and Global Privacy Control
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. There is therefore nothing for an opt-out signal to switch off.
The extension itself contains no tracking of any kind. Do Not Track has never had an agreed industry standard and we do not respond to it. Where a browser sends a Global Privacy Control signal, we have no sale or sharing of personal information for it to stop, so honoring it requires nothing of us and takes nothing away from you.
Disclaimer
The JobManager extension is a tool that helps you organize a job search and prepare applications. It does not apply for jobs on your behalf and it does not act without you.
You are responsible for what you submit. Auto-fill suggests values for a form; it does not verify them. You must review every auto-filled field for accuracy and completeness before you submit an application, and correct anything that is wrong. Virtual Vocations is not responsible for information submitted through or with the assistance of the extension, including information that is inaccurate, incomplete, out of date, or entered in the wrong field.
Match scores are estimates. A match score is a machine-generated estimate of how a resume compares to a job posting. It is not career advice, not an assessment of your suitability, and not a prediction or guarantee of any outcome. Virtual Vocations does not guarantee any interview, offer, or employment result.
We do not control the websites you apply on. Employers, job boards and application systems are operated by third parties. Virtual Vocations does not control them, is not responsible for their content, forms, or conduct, and is not responsible for what happens to your information once you submit it to them. As set out in our Terms of Use, Jobseekers are responsible for all interactions with Employers.
The extension is provided as is. We do not warrant that it will be uninterrupted, error free, or compatible with every website or application form. Job postings and application forms change without notice, and the extension may fail to read a page, may read it incorrectly, or may fill a field incorrectly.
Your use of the extension is at your own risk. To the fullest extent permitted by law, Virtual Vocations is not liable for any loss or damage arising out of or relating to your use of the extension, including any adverse consequence of information submitted through it. The Disclaimer of Warranties, Limitation of Liability, and Indemnification provisions of our Terms of Use apply to the extension and are incorporated into this policy by reference.
Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of this page. We do not send advance notice of changes, so please review this policy from time to time to see how we are handling your information.
Your continued use of the extension after an updated policy is posted means that you accept the updated policy. If you do not agree with a change, stop using the extension and remove it from your browser.
